OUTLOOK 2000 FAQ: Distribution Lists

There are several ways to get to the right window; here is one method:

Define the Distribution List

  1. On the Tools menu, click Address Book to open your Address Book.
  2. In the Show Names from the list, select the very bottom entry under Outlook Address Book, called Contacts.

  3. On the File menu, click New Entry, or click the New Entry button on the toolbar.
  4. Under Select the entry type, select New Distribution List.
  5. The default location is correct: the Put this Entry option at the bottom of the box should show In the Contacts.
  6. Click OK. Your new distribution list is now set to be saved in the Outlook Address Book Contacts folder, and an untitled distribution list form opens. At this point, you can begin adding contacts to your new distribution list, as outlined in the following section.

Add Contacts to Your New Distribution List

  1. In the Name box, type the name of your new distribution list.
  2. Click the Select Members button to add members from any of your Address Book entries or Contacts.
  3. Click Save And Close to save the new distribution list.

The name of the distribution list appears bold as compared to the other entries in the contact folder. In table views, the distribution list name appears in the Fill Name field. You can view the members of the list by opening the entry.


Sending a Distribution List to Someone
If you'd like to send a distribution list to someone else in the district, you can.

If you use Outlook to compose your messages (instead of Word):

  1. Create a new mail message to the intended recipient.
  2. Open the Insert menu and pick Item...
  3. On the popup screen navigate to your Contacts folder where you created the distribution list.
  4. Scroll through your contacts and highlight the distribution list to be sent.
  5. Click OK.
  6. Send the message - if the recipient doesn't know how to import the list, include a link to this FAQ (http://www.bps-ok.org/physics/techtips/outlookfaq/distlist.html).

If you use Word to compose your messages:

  1. Create a new mail message to the intended recipient.
  2. Shrink the window a bit and open another window in Outlook so that your Contacts folder (with the distribution list in it) is visible.
  3. Drag and drop the distribution list entry from the Contacts folder into your message window.
  4. The distribution list should now be an attachment to your message.
  5. Send the message - if the recipient doesn't know how to import the list, include a link to this FAQ (http://www.bps-ok.org/physics/techtips/outlookfaq/distlist.html).


Importing a Distribution List from Someone Else
The other person needs to email you their distribution list using the above procedure, and then...

  1. Double-click the list's icon in the email message.
  2. The distribution list will open up.
  3. Open that window's File menu and select Copy to folder.
  4. Navigate on the popup list of folders to your Contacts folder and select it.
  5. Click OK.
  6. Open the File menu again and pick Close to shut down the distribution list window.
